1Who we are

CompliantBid is operated by Ashdi LLC (Wyoming, USA). For anything in this policy, write to contact@compliantbid.com.

2What we collect

• What you send us — through the quote form, the review form or email: your name, email address, company, trade, the solicitation and documents you share, and anything you choose to tell us (including the optional “How did you find us?”).
• Website assistant conversations — the messages you type in the chat bubble, and an email address if you choose to leave one. Your browser stores a random conversation ID (local storage, not a cookie) so the conversation follows you from page to page.
• The free RFP checklist — the solicitation PDF you upload, the email address you give (and your company, if you add it), and the checklist we build from the file.
• Orders and payments — the written scope, invoices and receipts. Card payments are handled by Stripe: we never see or store your full card number.
• Visits — our own cookie-free analytics count page views and referring sites in aggregate; it stores no IP address and builds no profile. Our web server also keeps standard access logs (IP address, page requested, browser, time) to keep the site secure and to understand how visitors find us.

3How we use it

To answer you, quote your project, do the work you order, invoice it, and keep this site secure and working. For the free RFP checklist: to build it, email you a copy, and follow up about that solicitation. That is all. We don’t use your information for advertising, we don’t build marketing profiles, and we never sell or share personal information — in the sense of California law, or any other.

4Who processes it for us

A small number of service providers process information on our behalf, only to provide their service to us:

• Anthropic (Claude) — AI services for our website assistant, the free RFP checklist and our document work.
• Stripe — card payments and receipts.
• Hosting and email providers — our servers and our mailboxes.

Our analytics and our form relay run on our own servers: no third-party analytics or form service receives your data. We may disclose information if the law requires it.

5The website assistant

The chat bubble on this site is an AI assistant, not a person, and it says so when asked. It answers questions about our service from the facts we publish, and every conversation reaches our team by email so we can follow up. Please don’t share sensitive information in the chat — financials, ID numbers, passwords or card details. Documents are never requested there.

6How long we keep it

• Conversations, forms and emails: as long as we may need them to follow up on your request, deliver and support your work, or keep a record of what was agreed — and deleted on request when no longer needed.
• Free RFP checklist: the uploaded file and its checklist are deleted 30 days after the upload, or sooner on request.
• Order and payment records: as long as tax and accounting rules require.
• Server access logs: as long as they serve security and visitor measurement.

7Your choices and rights

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Write to contact@compliantbid.com; we reply within one U.S. business day and complete requests within 45 days. We won’t treat you differently for asking. California residents have these rights under the CCPA; we extend them to everyone.

We use no cookies and no cross-site tracking, so there is nothing to opt out of.

8Security

The site and its services are served over HTTPS only. Access to your information is limited to the work it was sent for, and documents shared after an order go through a private channel, never the public chat.

9Children

This service is for businesses and is not directed to anyone under 18.

10Changes

If this policy changes, the new version is posted on this page with its date. Material changes apply only to information collected after they are posted.
